We designed and built a HIPAA-compliant patient portal with automated appointment scheduling, secure messaging, and telehealth integration. The system sends intelligent reminders via SMS and email, adapting to each patient's communication preferences.
MedFlow Health operates a network of clinics across the eastern United States. Their existing patient portal was a legacy system that patients actively avoided — leading to a reliance on phone calls that overwhelmed front-desk staff and resulted in frequent missed appointments.
Our approach started with patient journey mapping. We interviewed patients, front-desk staff, and physicians to understand every friction point. The key insight: patients didn't want another app to check — they wanted the right information to come to them at the right time.
The portal we built centers on intelligent communication. Appointment reminders adapt to each patient's preferred channel (SMS, email, or push notification) and timing. The scheduling interface shows real-time availability and allows same-day booking. Secure messaging replaced phone tag for non-urgent questions.
We delivered the complete system in 12 weeks, including HIPAA compliance certification. Within three months of launch, missed appointments dropped by 67% and patient satisfaction scores climbed to 4.8 out of 5. MedFlow has since rolled the portal out to all 23 clinics in their network.
